Provider shift scheduling that flags the gaps before they happen

We moved Noble TeleHealth's weekly provider scheduling out of two tools and into one Airtable base that one or two admins can run.

In Short

The problem
Availability came in through JotForm; the schedule was rebuilt by hand in Workforce.com.
What we built
One Airtable base: a weekly form, automatic reminders and flags, and a dashboard.
What changed
One or two admins run the week, and gaps surface before it starts.

The Challenge

Providers sent weekly availability through JotForm, and the schedule was rebuilt from it by hand in Workforce.com. Noble wanted one place showing who hadn't answered and which hours nobody could cover.

How a week was scheduled before

  1. Providers
  2. Retired: JotForm
  3. Rebuilt by hand
  4. Retired: Workforce.com
  5. The week's schedule
What Noble asked for
  1. Both tools retired, not kept running beside Airtable
  2. One or two admins, since Airtable is priced per seat
  3. No seats for providers: a form and an email

{The Week}

One sample week, from Wednesday's request to the published schedule. Each square is one of next week's shifts; the number is how many providers can cover it.

  1. /01Wednesday

    The request goes out

Every active provider gets a form by email. No login.

  2. /02Wednesday to Thursday

    Availability arrives

Each answer lands on next week's shifts as it comes in.

  3. /03Friday morning

    A reminder for anyone missing

Sent on its own. Unusually low availability is flagged.

  4. /04Friday

    The gap surfaces

No one can cover Friday 3 to 6 PM; the admins are alerted.

  5. /05Before the week starts

    Assigned, published, emailed

Each provider gets their own shifts. Late answers are flagged.

The Provider's Week

Each week they get a form by email, then their own shifts once published. That is what lets one or two admins run the week.

Inside the Base

Every shift, who is assigned and where the gap is, in one weekly view the admins publish from.

airtable.com · Provider Scheduling
The weekly shift schedule: assigned providers per shift, two shifts still to assign and one gap on Friday 3 to 6 PM

Friday 3 – 6 PM, flagged before anyone assigns.

How the base works
  1. A custom script lays out each week's shift slots
  2. The active roster flows in from a synced table
  3. Every submission is one record, flagged if late or low

Screens recreated with sample data. Every provider shown is fictional.

{The Dashboard}

One screen shows who has answered, whether the hours are there, and what still needs someone before next week starts.

airtable.com · Scheduling dashboard
The scheduling dashboard: 18 of 20 submitted, hours available against scheduled, 80% on time, uncovered hours by day, who hasn't submitted and a table of flags
Look for Friday's spike in uncovered hours.

The Results

  1. One tool instead of two

One Airtable base replaced JotForm and Workforce.com.

  2. Run by one or two admins

Providers only ever see a form and an email.

  3. Gaps seen early

Uncovered hours show by day, before the week begins.
