From inbox to recall: running a London ice cream maker on one system

Happy Endings makes ice cream sandwiches and puddings in London and sells them wholesale. Since 2024 we've built the systems that take their orders, plan their kitchen and trace every lot.

In Short

The problem
Shorthand email orders, records drifting between apps, and a kitchen run on paper.
What we built
An AI order agent, a wholesale portal, and one workspace for kitchen and office.
What changed
290 emails turned into orders so far; tracing a delivery becomes one search.

The Challenge

Founded in 2014, Happy Endings sells to pubs, cafes, restaurants and cinemas across London. By 2024 each new customer was set up by hand in several tools, and batches were recorded on paper.

  1. /01Orders in every format“The malty one”, “15x”, and platform order emails in one inbox.
  2. /02Records that driftedCustomers and products fell out of step between three systems.
  3. /03A kitchen on paperSpreadsheet schedules, filed batch sheets, traceability worked out by hand.

{From Inbox To Order}

Ophelia, the order agent, reads the wholesale inbox, works out who wrote and what they mean, and turns the email into an order the team only has to approve.

The Agent

Half were orders and product questions; the rest were follow-ups and general questions. So Ophelia also answers delivery and invoice follow-ups, and escalates complaints to the team.

How Ophelia stays in bounds
  • Each customer is only offered their own catalogue.
  • She can't send email; a separate automation sends her replies.
  • Changes like “make it 5 not 3” wait for staff approval.

What nearly 600 customer emails were about

  • Follow-ups: delivery status, missing items, invoices30%

Wholesale Portal

In October 2025 a wholesale portal on Happy Endings' own site replaced the WooCommerce shop. Each customer sees their own products and prices, and new stockists appear on the map without a developer.

{The Trace}

If a supplier recalls a batch, who got it? Deliveries, batches and packed orders all record their lots, so one search runs back to the dairy and forward to each customer.

How the trace works
  • Search by supplier batch, lot, batch, order or customer.
  • Recall notices to customers and the FSA are drafted, never sent alone.
  • Timed mock recalls for SALSA, and a spreadsheet export for auditors.
