An investor tracker that sends the right documents at the right time

SunMed Growers' CFO was running a private debt offering by hand. We moved his investor tracking into Airtable and connected it through Make.com to PandaDoc, so every investor gets the right paperwork, already filled in, before and after they fund.

The Challenge

SunMed Growers, a licensed medical cannabis cultivator in Maryland, raised money through a private debt offering in 2025. Its CFO ran every investor's paperwork himself, from an Excel tracker.

By hand, per investor

  1. /01Pick the right versionIndividual or entity, decided by hand each time
  2. /02Send and waitEmail the agreement, then wait for the signature and the funds
  3. /03Build the closing setFour documents, pulled together for each investor

{The Paperwork}

The investor's type picks their subscription packet: agreement, W-9 and banking form, already filled in. Once the money lands, four closing documents go out as one packet.

Re: 2025 Debt Offering, closing documents

After the money arrives

Four documents, one send

One packet, built from SunMed's own masters.

Names are fictional; the documents are the ones SunMed used.

The System

Airtable holds the investors, Make.com moves each record into the right document, and PandaDoc fills it in and collects signatures. Short recorded walkthroughs showed the CFO how to add people to each.

01 / 03Airtable

Every investor on one board

Investors arrive through a short interest form, and the CFO works the whole offering from one Airtable board. Each record holds what that investor's documents need.

Each column is a stage; each card, one investor.

02 / 03Make.com

One route for each investor type

A Make.com scenario reads the investor's record and takes the route for their type. A second automation does the same for the closing packet.

Make.com
make.com
Part of the Send Subscription Packet scenario in Make.com: an Airtable record lookup and a router splitting into Individual, With co-investor and Entity routes, each creating a PandaDoc document from a template
The router splits on investor type: three routes.

03 / 03PandaDoc

Filled in before it is sent

PandaDoc builds each packet from the template for the investor's type, with their details already in place.

Subscription Packet

A sample investor's subscription agreement in PandaDoc: subscriber details filled in from the record, a required SSN or EIN field, and the representations section with a required confirmation
Yellow fields came from the investor's Airtable record.

How We Delivered

Tested with the CFO as soon as both packets worked, then adjusted as the real offering showed what it needed.

  1. May 5–7Tracker built, first packet sent

  2. May 13–22Closing packet, tested, handed over

  3. May 21 – Jun 13Refined, and a third investor type

The Results

  • /01

    In use through the close

SunMed completed its debt offering in August 2025 on this system.

  • /02

    Fewer gaps to chase

SSN or EIN and the representations confirmation are required fields.

  • /03

Room for a new investor type

Co-investors became a third route, not a new process.

More systems built around how a business actually runs.
